Central Office Desk Assistant

Description

The Housing & Dining Department contributes to the success of students and the University by creating dynamic communities and providing exceptional hospitality. The Housing & Dining Department includes Housing & Residence Life, Residential & Retail Dining, Facility Management, Catering and Marketing services. The Central Office Desk Assistant a vital part of the success of all operations. The front desk serves as an information hub for students, parents, faculty, staff and guests. As a staff member, the Desk Assistant assists anyone encountering the office. Trustworthiness, reliability, and the ability to maintain confidentiality and interact confidently with a wide range of people are essential characteristics.

Desk Assistants are supervised by the Assistant Director Housing & Dining Administrative Services, but works in conjunction with the other Desk Assistants and Central Office Clerks. Desk Assistants support the objectives of all areas of the Housing & Dining department, and help maintain UHD and university policies and procedures. 

Compensation & Hours

  • $11 per hour; $0.25 raise per consecutive year of employment in the position
  • An average of 10-15 hours per week during regular university hours of operation, with a potential of up to 20 hours per week. (M-F; 8am-4:30pm)

Note: Per Policy 3.19 Student Employment, students cannot work more than 20 hours per week during the school year when classes are in session.

Minimum Qualifications

  • Applicants must have lived on campus at UNI at least one semester.
  • Applicants must have and maintain a minimum 2.25 semester and cumulative UNI grade point average.
  • Applicants must be in good academic, behavioral and financial standing with the university.
  • Applicants must be a full-time, degree-seeking student at the University of Northern Iowa.
  • Trustworthiness, reliability and ability to maintain confidentiality and interact confidently with a wide range of people are essential characteristics.

Preferred Qualifications

  • Strong customer service and communication skills.
  • A positive and motivated attitude.
  • As a staff member within Housing & Dining, it is preferred that Desk Assistants live on-campus during their time within the role.

Appointment Period

Desk Assistants are employed for the entire academic year. Ability to work during the summer is preferred. Scheduled work dates may be adjusted based on changes made to the academic calendar. Training period for Desk Assistants occurs during work hours during the first weeks of employment.

Desk Assistant responsibilities include

  • Providing customer service in person and by phone
  • Demonstrating basic knowledge of all UHD housing, dining centers and dining retail locations
  • Responding to inquiries regarding on-campus housing residential and retail dining and the contracting process; in person and by phone
  • Treating all information confidentially and with discretion
  • Producing and re-activating University ID Cards
  • Delivery of materials to UHD buildings and various offices around campus
  • Sending, receiving and responding to emails
  • Presenting the University in a positive light to stakeholders (i.e. parents and guests) in giving tours to prospective students
  • Presenting the University in a positive light to stakeholders at tabling events during visit days and orientation
  • Performing keyboarding, photocopying, filing, lamination, shredding, and prepping materials for distribution to the halls
  • Directing students and guests to the proper campus & community resources
  • Utilizing StarRez, TruCredential, Microsoft Word, Microsoft Excel, and Google programs (i.e. Gmail, Google Drive, Google Calendar)
  • Sorting and distributing Central Office mail and packages
  • Knowing departmental policies and procedures as directed by Housing & Dining
  • Looking after office inventory related to office supplies and equipment, providing any supply orders to Clerk IV as needed
  • Keeping the desk area clean
  • Filling out all paperwork completely and correctly as directed by the Assistant Director or Clerk IV
  • Being asked and available (when possible) to cover work shifts for other Desk Assistants
  • Performing other duties as assigned by the Assistant Director or Clerk IV
